Privacy Policy

Gurukul 360 ("we", "our", or "the app") is an enterprise School ERP and Campus Operations platform. This Privacy Policy describes how we collect, use, store, and protect your information when you use our application and related services. By using Gurukul 360, you agree to the practices described in this policy.
1. Information we collect
We collect information that you provide directly and that is generated through your use of the app:
Account and profile information
- Email address, full name, phone number, and role when you sign up or are invited by your school.
- School association and tenant identifier so we can scope your access correctly.
- Profile photo and optional details (e.g. occupation, address) when you or an administrator add them.
School and operational data
- Data you or your school enter: students, staff, guardians, classes, subjects, timetables, attendance, homework, grades, report cards, fees, transport, inventory, and similar operational records.
- Content you create or submit: announcements, assignments, submissions, comments, and messages within the app.
Device and technical information
- Device identifiers, app version, operating system, and language preferences for compatibility and support.
- Usage data (e.g. feature usage, errors) necessary for security, stability, and improving the service.
- Push notification tokens when you enable notifications, so we can deliver alerts configured by your school.
Payment-related information
- When you pay fees through the app, payment is processed by our designated payment partner (e.g. PhonePe). We do not store your full card or bank credentials; we may store transaction references, amounts, and status to reconcile fees and show payment history within the app.
External links and payments (e.g. Pay with PhonePe)
Actions such as Pay with PhonePe and contact links (e.g. email) open in your device’s browser or default apps. If a link or payment page does not open (for example due to device or app settings, or a connection error), please try again or use an alternative:
- Payments: Contact your school for other ways to pay fees (e.g. bank transfer, in-person).
- Support or contact: Use About → Contact us in the app, or the support email provided by your school, and we will assist you.
2. How we use your information
We use the information we collect to:
- Provide the service: Operate and maintain the Gurukul 360 app, including authentication, role-based access, and all features your school has enabled.
- Enforce access control: Ensure you only see and do what your role and school configuration allow.
- Communicate: Send you in-app and push notifications (e.g. fee reminders, announcements, homework alerts) when enabled by your school.
- Support and improve: Diagnose issues, improve performance, and develop new features in a way that respects your privacy.
- Comply with law: Meet legal obligations and respond to lawful requests from authorities.
- Security: Protect the security and integrity of our systems and users, including fraud prevention.
3. Data storage and security
Your data is stored in secure, access-controlled environments. We use industry-standard measures to protect data in transit and at rest.
- Multi-tenancy: Each school’s data is logically isolated so that one school cannot access another’s data.
- Access controls: Access to data is restricted by role and need-to-know; we rely on authentication and authorization mechanisms to enforce this.
- Infrastructure: We use reputable cloud providers (e.g. Firebase/Google Cloud) that implement strong physical and logical security controls.
- While we take reasonable steps to protect your information, no system can guarantee absolute security; we encourage you to safeguard your account credentials.
4. Data retention
We retain your information for as long as your account is active or as needed to provide the service and fulfil the purposes described in this policy. When you or your school delete an account or request deletion, we remove or anonymise personal data in line with our retention practices and applicable law. Some data may be retained for a limited period for legal, audit, or security reasons.
5. Sharing and disclosure
We do not sell your personal information. We may share data only in the following circumstances:
- Within your school: With your school’s administrators and authorised staff as required for the operation of the service (e.g. teachers viewing class lists, accountants viewing fee records).
- Service providers: With vendors that process data on our behalf (e.g. hosting, analytics, payment processing) under strict agreements that limit use to providing the service and protecting your data.
- Legal and safety: When required by law, court order, or government request, or when we believe disclosure is necessary to protect rights, safety, or property.
- Business transfers: In connection with a merger, acquisition, or sale of assets, subject to the same privacy commitments.
6. Your rights and choices
Depending on your location and applicable law, you may have the right to:
- Access and correction: Access and update your profile information from within the app (e.g. name, phone, photo).
- Account deletion: Request deletion of your account via About → Delete my account in the app. This removes your profile and disassociates your account from the school; re-joining would require a new invite from the school.
- Data portability: Where required by law, request a copy of your data in a portable format.
- Object or restrict: In certain jurisdictions, object to or request restriction of certain processing.
To exercise these rights, use the in-app options where available, or contact your school administrator or the support contact provided by your school for Gurukul 360. We will respond in accordance with applicable law.
7. Children’s privacy
The app is used by schools to manage student information. Student data is processed on behalf of the school and in accordance with applicable education and privacy laws (including those that protect children). Parents and guardians can exercise rights on behalf of their children through the school or via the app where the school has enabled such features. We do not knowingly collect personal information from children outside of the school context; if you believe we have done so, please contact us so we can take appropriate steps.
8. Data safety & family policies (Apple App Store & Google Play)
Gurukul 360 may be used by or directed at children (e.g. students) in the context of school use. Where the app is distributed via the Apple App Store or Google Play and targets or is used by families and children, we comply with the following platform requirements and disclose our data practices accordingly.
Apple App Store — Kids & Family
- No behavioural advertising: We do not use personal data from children for behavioural or targeted advertising. The app does not serve third-party ads based on user behaviour or profile.
- No third-party analytics or advertising IDs for children: We do not collect or share advertising identifiers or use third-party analytics for profiling children. Any analytics or usage data is limited to what is necessary to operate and secure the service, as described in this policy.
- Account creation & consent: Student accounts are created and managed by the school (or by parents/guardians where the school permits). We do not allow unsupervised account creation by children; access is gated by school invite and role-based controls.
- Parental controls & transparency: Parents and guardians can view and manage their linked children’s data through the app where the school has enabled parent roles. Schools act as data controllers for student data; we process it on the school’s behalf.
- In-app purchases: The app does not offer in-app purchases directed at children. Any fee payments are for school fees and are typically initiated or authorised by parents/guardians.
Google Play — Families Policy & Data safety
- Data collected: For all users, including when the app is used by or for children, we collect only the data described in section 1 (e.g. account/profile information, school and operational data, device/technical information, and payment-related information where applicable). We do not collect unnecessary data from children.
- Data use: Data is used solely to provide the Gurukul 360 service (authentication, role-based access, notifications, support, security, and compliance), as set out in section 2. We do not use data for advertising purposes.
- Data sharing: We do not sell user data. Data is shared only as described in section 5 (within the school, with service providers under strict agreements, and for legal/safety reasons). We do not share children’s data with third parties for advertising or marketing.
- Security: We use industry-standard security measures (access controls, encryption in transit and at rest, secure infrastructure) as described in section 3. Data is stored in access-controlled, multi-tenant environments.
- Data safety form: The data types and practices disclosed in this Privacy Policy align with what we declare in the Google Play Data safety section. We commit to keeping that declaration accurate and updated when our practices change.
If you have questions about how we handle data in the context of Apple’s or Google’s family or children’s policies, contact your school administrator or our support contact (see Contact below).
9. Third-party services
Our app may use or link to third-party services (e.g. Firebase for authentication and data storage, payment gateways for fee payments). Those services have their own privacy policies; we encourage you to review them. We choose partners that we believe uphold strong privacy and security standards, but we are not responsible for their practices.
10. International transfer
Your data may be processed in countries other than your own, including where our or our service providers’ servers are located. We ensure that appropriate safeguards (e.g. contracts, standard contractual clauses) are in place where required by law for such transfers.
11. Push notifications
If you enable push notifications, we use your device token to deliver messages configured by your school (e.g. fee reminders, announcements). You can disable push notifications in your device or app settings at any time.
12. Changes to this policy
We may update this Privacy Policy from time to time. We will indicate the last updated date at the top. For material changes, we may notify you via the app or email where appropriate. Continued use of the app after changes constitutes acceptance of the updated policy. We encourage you to review this page periodically.
13. Contact

- Contact your school administrator for matters related to your school’s use of Gurukul 360.
- Use the support contact (email or other channel) provided by your school for Gurukul 360.
If your school has not provided a dedicated support contact, direct your inquiry to the school’s main contact; they can escalate to the app provider where needed.
This policy applies to the Gurukul 360 application and related services. It does not apply to third-party sites or services linked from the app.
